Stop Sending Out Monthly Statements


Although many agencies are no longer sending out monthly statements, it is amazing how often we have agencies report that clients do not know the difference in an "invoice" and a "statement".

Rather than trying to educate the public, a much better solution is to eliminate sending out statements all together.

There are several very good reasons to make this business decision.  First, by sending out a statement after an invoice, you create receivables because the client thinks they have a period of time after the statement before they have to pay.  And they will often extend the time as long as possible.

Second, you have customers with special handling, or they have already paid their invoice.  Someone has to review the statements to determine which ones should or should not be mailed.  This means that maybe half of the statements won't even be mailed.  For those that are mailed, you have hard cost of postage, printing, etc added on to the labor cost.

So make it simple.  Send out invoices.  Don't send out statements.
