Scanning Checks? STOP!

We often have reports from agencies that they are scanning or photocopying checks received from their clients.  This is usually being done more out of fear that they may need this information in the future. 

First, with recent changes in privacy laws, the E&O exposure and responsibility for storing this kind of private client information is simply not worth the risk. The legal implications when storing any NPI (non-public information) is getting more complicated each day.

Secondly, whenever you consider any procedure ask yourself these questions, “When was the last time I actually needed this information” and “What is the worst thing that would happen if I don’t have a copy”?  It is amazing how many times agencies implement procedures for something that rarely becomes an issue anyway? 

You will find that fear is never a good reason for any procedure. Trust will accomplish much more, and is a whole lot cheaper.
